Check in requirements:
The person checking in for your
party must be at least 18 years old. Any balance due for your
stay is processed as an authorized deposit at check in. You can
pick up a copy of final charges at check out. A valid photo ID
and credit card or check card is required. If the card paying
for your stay is a company card and will not be present at check
in, a fax containing the face smile of card must be received
by Fern River Resort prior to check in. You may still be asked
to present your own card and ID at check in. We accept only credit
cards and check cards for authorization of deposit at check in.
Credit cards accepted are MC. Visa & American Express. Personal
checks will only be accepted from repeat customers at the discretion
of Fern River Resort. Sorry,
pets are not allowed!
Reservation deposit
policy:
Please send in your advance
deposit within 1 week of making your reservation. Please use
checks for reservations except when less than 30 days until arrival.
When less than 30 days use money orders or certified check, ship
next day air. Use Credit cards when under 10 days. Due to credit
card policy, sometimes credit cards may not be accepted until
less than 72 hours. Credit cards will not be accepted for group
reservations.
Advance Deposits amounts
are as follows:
1, 2 or 3 night stays may require
advance payment in full. Longer reservations are 60% of the total
booking including tax.
Group reservation deposits are 75% or more. Note: Group policy
applies during event dates even if you are not part of the event.
Short notice credit card
reservations:
You will be asked for all needed
credit card information. A deposit authorization or a hold of
funds equal to your first nights stay including tax will be placed
on your card. Cancellations under 72 hours and no shows will
be billed the first nights stay. Cancellations with more than
72 hours will be billed a service fee of $30.00. Note: The 72
hour period starts/ends at 12 noon on the arrival day.
Group reservations:
May require payment in full
at least 45 days in advance and within 20 days of making the
reservation. Group reservations made less than 45 days must be
paid at the time reservation is made by cash or money order.
A group is any two or more cottages rented by friends, organizations,
businesses or family, this includes units rented by separate
parties to attend a single event such as weddings, meetings,
classes & reunions. Additional security deposits may be required
for large groups even if cottages are rented separately.
Advance Deposit refund
policy:
If you cancel 45 days or more
in advance of your arrival date, you will be refunded your full
deposit less a 10% handling fee. Please note: If you cancel during
an event or group cancellation, group policies may be applied
even if you are not part of the group or event.
If you must cancel 44 days or less in advance of your arrival
date, you will only be refunded your full deposit less 20% or
more. Refund will be dependent on losses incurred due to lost
nights and additional maid charges if rebooking requires shorter
stays. Nights refunded will be only if we fill all cottages for
each night refunded.
Reservations made more
than 6 months in advance:
Prices: are set at the time
the reservation is made. These prices will not be increased except
as follows:
If you fail to send in your deposit by the due date and there
has been a price increase, you will be asked to pay the new price
at check in.
If taxes are increased or decreased by the government, your taxes
will be at the rate effective at check in.
Cancellations and refunds:
All reservations made 6 months or more in advance are subject
to a 90-day cancellation policy. This is the same as the 45-day
policy's posted here.
Group reservations
cancellations over 45 days prior to arrival:
An increasing fee will apply
as follows. 1 cottage, 10% of deposit. 2 cottages, 40% of deposit.
3 cottages, 70% of deposit. 4 or more cottages, 75% of deposit.
Please note: If cancellation is made 90 or more days in advance
and we are able to re-rent all cottages all or part of fees above
10% may be waived at the discretion of Fern River Resort.
Group reservation cancellations
under 45 days or less prior to arrival:
Refund will be dependent on losses incurred due to lost nights
and additional maid charges if rebooking requires shorter stays.
Nights refunded will be only if we fill all cottages for each
night refunded. An increasing fee is also applied to deposit
as follows: 1 cottage, 10% of deposit. 2 cottages, 50% of deposit.
3 or more cottages, 75% each.
All refunds are issued 30 days after original reservation departure
date.
Shortening a Reservation:
With more than 45 days prior
to your arrival day: You may be allowed to shorten a reservation
but you will not be able to shorten it to less than the minimum
stay requirements for the dates of your reservation. During the
summer, event dates and holidays the minimum is 5 nights. During
the winter the minimum will be 3 nights and depending on dates
it could be five nights. Also if you change or shorten your reservation,
there will be a $20 fee. Subletting or placing someone else in
your cottage for the remaining days will not be allowed.
With less than 45 days prior to the arrival date: Shortening
a reservation is not allowed. You will be required to pay for
all the nights you reserved before you recieve the key. If you
absolutely cannot stay the full duration of your reservation,
you are welcome to ask us to try and re-rent the unused days.
In the event that we re-rent the un-used days, your refund less
30% will be dependent on lost days and extra maid charges incurred
do to shorter stays. We will not refund days that fall into the
minimum stay requirements as above and we will not re-rent units
if it requires additional housekeeping during a group check in
or check out. Subletting or placing someone else in your cottage
for the remaining days will not be allowed.
Changing dates and
moving reservations:
At the discretion of the manager
and in most cases if your reservation is more than 45 days out,
we will move your reservation one time at no charge. Sometimes
when moving from a popular date to an open mid week date, we
may allow a second move. However once you have moved your reservation,
your deposit becomes non refundable. We will not move your reservation
a third time.
At managers discretion, reservations cannot be moved with less
than 30 days prior to arrival.
Name Changes and substitutions:
With more than 45 days prior
to the arrival date: At managers discretion, name changes and
substitutions may or may not be accepted.
With less than 45 days prior to the arrival date: At managers
discretion. name changes or substitutions will not be accepted
without a processing fee of up to $150.
Re instatement of canceled
reservations:
In the event you wish to reinstate
a canceled reservation. Depending on dates, you will be asked
to provide an additional deposit by check or credit card. Both
deposits will be applied towards your stay. If you cancel again,
both deposits are at risk.
All refunds are by US postal mail or credit card and only processed
10 to 30 days after your stay.
Extra Guests:
Extra guests over 3 or staying
over 3 hours will be billed to your cottage charges in the amount
of $10.00ea. per day.
Smoking in rooms:
Smoking in any room will result
in a $200.00 fee to clean linens upholstery and carpets. Tampering
with smoke detectors & signs $50.00.
Pets:
Pets are not allowed. Sneaking
in a pet will result in a $50 fee per day.
Early Check out:
No refunds for early checkout.
