Please make hot tub reservations before 5:00 PM. Exceptions for
hot tub reservations after 5:00 PM are accepted during check-in
for those arriving between 5:00 PM and 9:00 PM.
Towel exchange, TP, soap, and other information is 9:00 AM until
5:00 PM.
Check in is any time between 3:00 PM and 9:00 PM.
Early check in is possible when
no one was in the cottage the previous night or when the cottage
is ready. Please call in on the arrival day to see if an early
check is available. In this case you are welcome to check in
as soon as 12:00 noon. Prior to 12:00 Noon requires payment for
the previous night.
Arrangements to arrive after
9:00 PM must be made in advance.
For this reason one night reservations with a flight arrival
at SFO or SJC after 7:00 PM are some times turned down..
Check out is 11:00 AM. Your cottage may have someone checking in the
same day as you are checking out + the house keepers will be
waiting to clean your cottage. We are so sorry but because of
this there is a $25 per hour fee charged for late check out.
Additionally, if you leave your belongings in the cottage on
the check out day and do not return in time to properly check
out/drop off the key: Again we are very sorry but we will be
forced to remove your belongings and we must pass on the locksmith
and employee costs of an additional $50.
Optionally, if no one is checking in on your check out day: Your
belongings will not be disturbed. However you will be charged
for the additional night. Additionally you may find a lock box
on the door. This will require payment for the night to receive
access to your cottage and belongings.
Check in requirements:
The person checking in for your party must be at least 18 years
old. Any balance due for your stay is processed as an authorized
deposit at check in. You can pick up a copy of final charges
at check out. A valid photo ID and credit card or check card
is required. If the card paying for your stay is a company card
and will not be present at check in, a fax containing the face
smile of card must be received by Fern River Resort prior to
check in. We accept only credit cards and check cards for authorization
of deposit at check in. Credit cards accepted are MC. Visa &
American Express. Personal checks will only be accepted from
repeat customers.
Credit card reservations (under 30 days).
You will be asked for all needed credit card information. A deposit
authorization or a hold of funds equal to your first nights stay
including tax will be placed on your card. Cancellations under
72 hours and no shows will be billed the first nights stay. Cancellations
with more than 72 hours will be billed a service fee of $30.00.
Note: The 72 hour period starts/ends at 12 noon on the arrival
day.
Advance Deposits over 30 days.
1 or 2 night stays may require advance payment in full. Longer
reservations are 60% of the total booking including tax.
Group reservation deposits are 65% or more. Note: Group policy
applies during event dates even if you are not part of the event.
Reservation deposit policy (over
30 days).
Please send in your advance deposit within 1 week of making your
reservation. Please use checks for reservations except when less
than 30 days until arrival. Use Credit cards when under 30 days.
Credit cards will not be accepted for group reservations.
Advance Deposit refund policy:
If you cancel 31 days or more in advance of your arrival date
you will be refunded your full deposit less a 10% handling fee.
Notes:
1. See 90 day in advance reservation below.
2. If you cancel during an event or group cancellation, group
policies will be applied even if you are not part of the group
or event.
3. Three to four night reservation is 20%. 5 or more night reservation
is 40%.
4. If you must cancel 30 days or less in advance of your arrival
date; Refund will be dependent on losses incurred due to lost
nights. Nights refunded will be only if we fill all cottages
for each night refunded.
Reservations made more than 90 days
in advance: (45 days
for group)
Prices: are set at the time the reservation is made. If taxes
are increased or decreased by the government, your taxes will
be at the rate effective at check in.
Cancellations and refunds for 90 day
in advance reservations: (45
days for group)
All reservations made 90 days or more in advance are subject
to a 60-day cancellation policy. This is the same as the 30-day
policy's posted here.
Group reservations:
May require payment in full at least 45 days in advance and within
20 days of making the reservation. Group reservations made less
than 45 days must be paid at the time reservation is made by
cash or money order. A group is any three or more cottages rented
by friends, organizations, businesses or family, this includes
units rented by separate parties to attend a single event such
as weddings, meetings, classes & reunions. Additional security
deposits may be required for large groups even if cottages are
rented separately.
Group reservations cancellations
over 45 days prior to arrival:
An increasing fee will apply as follows. 1 cottage, 10% of deposit.
2 cottages, 40% of deposit. 3 or more cottages, 75% of deposit.
Please note: If cancellation is made well in advance and we are
able to re-rent all cottages all or part of fees above 10% may
be waived at the discretion of Fern River Resort.
Group reservation cancellations 45
days or less prior to arrival: Refund will be dependent
on losses incurred due to lost nights. Nights refunded will be
only if we fill all cottages for each night refunded. A 20% processing
fee is also applied to deposit.
All refunds are issued 15 days after original reservation departure
date.
Shortening a Reservation:
At the discretion of Fern River Resort and if your reservation
is more than 30 days out, you may be able to shorten a reservation
but you will not be able to shorten it to less than the minimum
stay requirements in effect when you made the reservation. Subletting
or placing someone else in your cottage for the remaining days
will not be allowed.
Changing dates and moving reservations:
At the discretion of the manager: When moving from a popular
date to an open less popular date and if your reservation is
more than 30 days out, we may move your reservation one time
at no charge. Once you have moved your reservation, your deposit
becomes non refundable. We will not move your reservation a second
time.
Name Changes and substitutions:
With more than 30 days prior to the arrival date: At managers
discretion, name changes and substitutions may or may not be
accepted.
Re instatement of canceled reservations:
Depending on dates, you may be asked to provide an additional
deposit by check or credit card. Both deposits will be applied
towards your stay. If you cancel again, both deposits are at
risk. Reinstatement of reservation must be made within 10 days
of the original cancellation date.
All refunds are by US postal mail or credit card and only
processed 10 to 20 days after your stay.
Extra Guests:
Extra guests over 3 or staying over 3 hours will be billed to
your cottage charges in the amount of $10.00ea. per day. Extra
guests exceeding the maximum the cottage is rated for will result
in immediate eviction without refund.
Smoking in rooms:
Smoking in any room will result in a $200.00 fee to clean linens
upholstery and carpets. Tampering with smoke detectors &
signs $50.00.
Pets:
We understand your pet is like your child but because of previous
abuse, we are so sorry but pets are not allowed. Sneaking in
a pet will result in a $50 fee per day.
Early Check out:
No refunds for early checkout.
Fern River Resort reserves the right to cancel any and or all
reservations 90 or more days in advance simply by refunding the
entire received and confirmed advance deposit. In this case Fern
River Resort will not be responsible for any additional loss
incurred by the reservation holder such as but not limited to:
Airline fees, cancellation fees, any deposit or payment for any
service or item not in our control or any other loss.
Fern River Resort reserves the right to cancel any and or
all reservations 31 to 89 days in advance of the arrival date
simply by refunding the entire received and confirmed advance
deposit + 10%. In this case Fern River Resort will not be responsible
for any additional loss incurred by the reservation holder such
as but not limited to: Airline fees, cancellation fees, rescheduling
fees, catering fees, charter fees, any deposit or payment for
any service or item not in our control or any other loss.
Fern River Resort reserves the right to cancel any and or
all reservations 30 days or less in advance of the customers
arrival simply by refunding the entire received and confirmed
advance deposit + 25%. In this case Fern River Resort will not
be responsible for any additional loss incurred by the reservation
holder such as but not limited to: Airline fees, cancellation
fees, rescheduling fees, catering fees, charter fees, any deposit
or payment for any service or item not in our control or any
other loss.
A received and confirmed deposit is a guest payment made by
cash or check that has been cashed by Fern River Resort and cleared
our bank and the funds were deposited into our account without
dispute. Checks must contain the cottage number and dates of
the reservation. Additionally they may contain the statement
wedding set up with the date of the event. In either case the
statement must be circled and initialed by an authorized employee
of Fern River Resort. |
